Post Dated Cheque Policy
NEBA will accept post dated cheques only if no other form of payment is available, and is approved by the Executive Director, the President or Treasurer.  Cheques are not always deposited on the post dated date.  It is the parent's responsibility to ensure that the funds are in the account from the date the cheque is written for, until it is deposited by the treasurer. These will be accepted for payment but must be paid in full by October 31.
NSF Cheque Policy
There will be a $25.00 NSF cheque fee for all cheques returned NSF.
Late Player Registration Fee Policy
A late player registration fee of $30.00 per player may be charged after the last registration date. Late registration will only occur if there is sufficient room for them in the program.
Jersey/Equipment Volunteer Policy
We require one volunteer from every team to be the Jersey and Equipment Manager. Jersey Duties include looking after the team jerseys for the season, which includes collecting them after games, washing them, and ensuring that they are at every game 30 minutes before game time. This could mean that they are dropped off at practice with the coach. Equipment Duties include assisting the coach with the looking after of the team equipment during the season of play as require. Year End Responsibility include working with the coach to ensure the safe return of all equipment and clean jerseys/pinnies on the designated equipment return date.
Team Gear Policy

Occasionally teams wish to obtain team clothing or swag in order to build team community.  In order for a team to procure team gear, they must abide by the following:

  • NEBA executive must approve the design of the swag to maintain integrity of the NEBA logo.
  • A budget must be submitted to both the parents of the team, and to NEBA executive for approval.
  • If corporate sponsorship is obtained, there must be a disclosure in the budget of any sponsorship.
  • This must be voluntary for players to participate (the team cannot mandate purchase of the team gear).
Evaluations Policy
  1. All registered NEBA players who wish to play on the competitive team at 13U or 15U level (tier 1 or 2) must attend evaluations.
  2. Players must be registered with NEBA for the current season to attend evaluations (fees must be paid, or Kidsport funding applied for). Players must be eligible to play for NEBA to attend evaluations (i.e. out of zone players must have releases completed). Waitlisted players cannot attend evaluations.
  3. Evaluations will be run by outside evaluators hired by NEBA. Coaches may attend the second call back evaluation, and will be given a list of 12 players from the evaluators. The coach may veto up to 2 players from the evaluators list, and pull up 2 players. 2 additional players (players 13 and 14) may be allowed to attend the seeding tournament, after which the coach must cut the team down to the allotted size for that division.
  4. In the case of a player being unable to attend any (or all) evaluations, but wish to be considered for the competitive team, the Evaluation coordinator may choose to allow an exemption, providing the following conditions are met:
    1. They must contact the Evaluation Coordinator before the tryouts for approval. Approval will not be given at the time of evaluations or after the evaluations have taken place (i.e., forgetting about the evaluation date or late registration will not be a sufficient reason for consideration).
    2. Players who can only attend one evaluation can be judged based on that single evaluation, at the discretion of the Evaluations Coordinator.  Players who cannot attend the Open Evaluation may be given permission to attend the Call Back Evaluation. Players who cannot attend the Call Back Evaluation will be identified during the Open Evaluation to have their assessment completed at that evaluation.
    3. Players who cannot attend any of the evaluations must have played the previous year on a NEBA competitive team of the same division (they must be in their 2nd year at that level).
      • If they are judged by their previous competitive team coach to be one of the top five players from the previous year, they can be added to the team without evaluation, at the discretion of the Evaluations Coordinator.
      • If they are judged by their previous coach to NOT be one of the top five players, they can be allowed to attend the competitive division seeding tournament at the discretion of the Evaluations Coordinator. The coach must be willing to accept the player coming to the tournament, based on the understanding that the final team make-up will be decided after the tournament (All players at the tournament must be informed in writing by the Evaluations Coordinator that the final make up of the team will be determined after the tournament). The final team make up will be evaluated by a group that includes the Evaluation Coordinator, the coach, and the Executive Director).
Moving Up Divisions Policy

Occasionally players wish to go up a division, for a variety of reasons.  Although NEBA encourages players to remain in their age-appropriate division for optimal basketball development, NEBA recognizes there may be extenuating circumstances causing a player to wish to go up a division.  Players may NEVER go down a division.

If a player wishes to go up a division the following must be met:

  • The player must have played for NEBA previously.
  • The player must register in the age-appropriate division, and then must contact a member of the executive with the reason for the request.
  • The request will only be considered if there is room in the division at the time registration officially closes - NEBA will not allow a player to move up and bump out a player of the correct age.
  • The player must go to the Evaluations of their own age bracket, if available, for assessment. The assessment will be completed by the Evaluation Coordinator and the Executive Director as to their suitability to go up a division.
  • Players will not be eligible to go to a higher division into the competitive category (they must be placed on a community team).
Parent Volunteer Policy

Families of 11U-18U players are required to complete one volunteer commitment per family for the NEBA organization.  This is outside of volunteer activities for your child’s team (i.e., scorekeeping).  Examples of fundraising volunteer activities include bingos and casinos. We also have limited opportunities to volunteer to support the running the organization, such as helping executive with specific activities or tasks, being a member of the executive, or being a head coach.

A $200 opt out fee can be chosen in lieu of volunteering at the time of registration.  If you sign up for a volunteer commitment at registration, this charge will be eliminated. We also will consider other fundraising activities in lieu of bingos or casinos.

It is the parent’s responsibility to replace themself if they cannot make the commitment they signed up for.  If they do not attend or arrange for a replacement, the following process will be used:

  • A $200 volunteer opt out fee will be added to the account
  • The account holder will be notified of this fee via email, with a deadline to pay of Dec 31
  • The child(ren) will not be able to play after Christmas until payment (or arrangements for payment have been made with NEBA executive).
  • If there is an alternative volunteer option available, the fee may be removed from their account after the volunteer effort is completed.

Coaching Policy

Coaches in our programs are volunteers. However, in order to maintain quality programing and the safety of our players and volunteers, there are several criteria that need to be met by our coaches.

  • NEBA has high expectations of integrity and honesty in our volunteer coaches.
  • All adults on the bench (coaches, assistant coaches, etc) must be registered in RAMP, including phone numbers, emails, and valid criminal records checks.
  • All coaches must be aware of, and sign off, on the Coaches Code of Conduct.
  • NEBA executive has the right to veto any coach, at any level.
  • In the case of a coach gender being different from the team gender, there must be a registered adult (coach, assistant coach, team manager) of the same gender as the players at practices.
  • Coaches are expected to communicate changes and or information from the executive to parents in a timely manner. Communication can be done by Email, Phone and Ramp App and team meetings with Parents at Practice.
  • Coaches will need to take applicable training, when it’s offered from the Executive and/or Basketball Alberta. Training costs will be reimbursed by NEBA.
  • Coaches who would like to coach at the Competitive Level will submit a personal resume of their coach educational level and any certification related, at which point the Executive will consider all options and make a final decision.
  • All NEBA Equipment that is lent out to Coaches (including but not limited to Ball Bags, Balls, Score Clocks, Medical bags and the Jerseys) are the responsibility of the Coach to maintain for the season. If any Equipment is lost/misplaced it is the responsibility to replace the items at cost and inform the Equipment Manager of any issues.
  • Coaches will implement NEBA’S Game Day Uniform and Short Policy at all games.
  • Only Head Coaches will be exempt from volunteer commitment. Assistant coaches are asked to commit to an effort, and will be relieved by the Volunteer Coordinator at the time of the event, if there are excess volunteer. The Assistant Coach must be registered with the NEBA program through RAMP to qualify for being exempt from the volunteer duties.
Game Day Uniform and Short Policy
  • All players will be provided a Jersey to be worn at games. These will be returned at the end of each game to the Jersey Parent to be washed and maintained for the season.
  • NEBA has Specific Shorts that are required and it’s the Parent’s responsibility to obtain before the season starts from the Executive/Coach. This will help the NEBA Teams to look uniform in appearance.
  • Players may wear a t-shirt under their jersey if they desire.
Movement within a Division Policy
NEBA community teams are NOT made based on ability or skill.  Community teams are made to be inclusive of all registrants regardless of experience. NEBA does its best to create community teams based on many factors, including (but not restricted to):
  • friend requests
  • restrictions to practice nights
  • experience on former NEBA teams
  • date of birth
  • health concerns
  • school attended

Once the community teams are released to coaches and players in late September, requests to move teams must be made to the NEBA executive. Requests to move teams will only be considered in the following circumstances:

  • conflicts with practice or game nights - NEBA commits to a registration refund if accommodation for practice nights cannot be reached.
  • as required by the NEBA executive to balance team numbers.

NEBA will not consider requests to move teams if:

  • it would result in the team exceeding the established team size, as determined by NEBA executive (i.e. the team is already full). Note, if a volunteer can be found to trade teams with the requesting player, the request can be considered.
  • the request is based on preference expressed for an alternate coach or teammates, or level of play (tiering).
